This Privacy Policy explains how Pit Crew (“we,” “us,” or “our”) collects, uses, stores, and shares information in connection with the Pit Crew application (the “App”), which merchants install on their Shopify store to take in and manage repair and service jobs from the Shopify admin and Shopify POS.
For personal information about a store’s customers, the merchant who installs the App is the data controller and Pit Crew acts as a data processor on the merchant’s behalf. Customers of a store should direct privacy requests to the merchant they interacted with.
1. Information we collect
The App collects and processes the following categories of data:
- Store and account data from Shopify when the App is installed: your store domain, store ID, store name, currency, locale, and the identifier of the staff/POS user making a request.
- Shopify store data accessed through the Shopify Admin API under the access scopes you grant, including orders, customers, products, inventory levels, locations, and sales-channel publications. This is used to link repairs to sales, add real inventory items as parts, and look up customers.
- Repair and service records you create, which may include a customer’s name, email address, and phone number, the item being serviced, the reported problem, internal notes, status history, deposit amounts, and references to related Shopify orders.
- App configuration you set up, such as technicians, service presets, custom intake fields, notification templates, and preferences.
- Operational data, such as notification (email/SMS) usage counts and server logs used to run, secure, and troubleshoot the App.
The App does not collect payment card numbers or Shopify customer passwords, and does not use store data for advertising.
2. How we use information
- To provide and operate the repair-management features of the App.
- To send service notifications (for example, a “ready for pickup” message) to the customer contact details a merchant enters on a repair.
- To synchronize parts with your Shopify inventory and link repair deposits and final sales to Shopify orders.
- To provide support, maintain security, and prevent abuse.
- To comply with our legal obligations.
3. How we share information
We do not sell personal information. We share data only with service providers (subprocessors) that help us operate the App, and only as needed to provide the service:
- Shopify — the platform the App runs on and the source of store data.
- Brevo (Sendinblue SAS) — used to deliver email and SMS notifications; receives the recipient’s name and email or phone number for the message being sent.
- Cloud infrastructure providers — we host the App on Fly.io and store data in a managed PostgreSQL database (Aiven). These providers process data on our behalf under their own security and privacy commitments.
We may also disclose information if required by law or to protect our rights, users, or the public.
4. Data storage and security
Data is stored in a managed PostgreSQL database and transmitted over encrypted connections (HTTPS/TLS). We restrict access to store data to what is needed to operate the App and rely on reputable infrastructure providers with industry-standard safeguards. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
5. Data retention and deletion
We retain your store’s repair records and configuration for as long as the App is installed and as needed to provide the service. You may request deletion of your store’s data at any time by contacting us at support@pit-crew.services, and we will delete or de-identify it, subject to any legal retention obligations. We honor data deletion and redaction requests made through Shopify’s data-protection processes.
6. International data transfers
Your data may be processed and stored in countries other than the one in which you or your customers are located. Where required, we take steps to ensure appropriate safeguards are in place for such transfers.
7. Your rights
Depending on your location, you may have rights to access, correct, delete, or restrict the processing of personal information, or to object to it or request portability (for example, under the GDPR or CCPA). To exercise these rights regarding data we process as a controller, contact us at support@pit-crew.services. If you are a customer of a store that uses the App, please contact that merchant, who controls your information.
8. Children’s privacy
The App is intended for use by businesses and is not directed to children. We do not knowingly collect personal information from children.
9. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above. Material changes will be communicated through the App or by other reasonable means.
